Epic Rwanda Safaris is a tour operator based in Kigali, Rwanda. This page explains what personal information we collect when you visit this website or plan a trip with us, why we collect it, and what we do with it.
What we collect
- When you send an enquiry through our contact form or the Plan Your Safari form: your name, email address, and what you tell us about your trip (dates, who is travelling, interests and budget).
- When you call, email or message us on WhatsApp: your phone number or email address and the messages you send.
- When you book a trip: the details we need to arrange it, such as the full names, nationalities, passport numbers and dates of birth of each traveller (required by the Rwanda Development Board for gorilla and chimpanzee permits), dietary or medical needs you choose to share, and flight details.
- When you browse the site: our web host keeps standard server logs (such as IP address and browser type) for security. We do not use advertising or tracking cookies.
Why we use it
- To reply to your enquiry and prepare your itinerary and quotation.
- To book your permits, lodges, transport and activities.
- To contact you before and during your trip.
- To meet our legal and accounting obligations in Rwanda.
We do not sell your information, and we do not send marketing emails unless you ask us to.
Who we share it with
Only with the people who need it to deliver your trip: the Rwanda Development Board (for permits), the lodges and hotels you stay at, and our guides and drivers. Our website is hosted by Hostinger, and enquiry emails pass through our email provider (Google). Messages sent on WhatsApp are handled by WhatsApp under its own privacy policy.
How long we keep it
We keep enquiry messages for up to two years so we can help if you get in touch again. We keep booking records for as long as Rwandan law requires for accounting and tax purposes. You can ask us to delete your information at any time, unless we must keep it by law.
Your choices
You can ask us what information we hold about you, ask us to correct it, or ask us to delete it. Write to epicrwandasafaris@gmail.com or message us on WhatsApp at +250 782 094 842, and we will reply within 30 days.
Changes to this policy
If we change how we use your information, we will update this page and the date at the top.
